A case study of how theatre planning in an NHS Trust has improved since the introduction of Rotamap services. We found that surgeons were assigned three days earlier on average, anaesthetists were assigned sixteen days earlier on average, on the day cancellations fell by 46 %, and extra anaesthetist sessions were reduced by 13 %.

This event was specifically for users of our services at NHS Trusts and Health Boards who are rolling out our All Doctor Rostering (ADR) services to all clinical teams across their entire organisation (or an entire Division).

The Rotamap team held our Autumn event on Friday 29th September 2023 at the Surgeons Quarter, Edinburgh. An examination of the impact of COVID-19 on clinical service provision across 160 anaesthetic departments, identifying and discussing per-department and national trends

The October 2021 benchmarks were generated for our Autumn 2021 online forum. The benchmarking packs allow departments to anonymously compare different service metrics to other similar departments.

NHS England/Improvement announced that all Trusts must use e-rostering software for their clinical workforce, and set out a plan to create common interoperability standards to promote a digital ecosystem of modular services from different suppliers. This document summarises our current approach to interoperability, and how that reconciles with NHS England/Improvement's intentions.

Our Autumn online forum took place on Friday 1st October 2021. On Friday 26 March 2021, Rotamap hosted its first online forum for current and prospective users of CLWRota and Medirota in Australia and New Zealand. The forum included talks from the Rotamap team and 3 guest speakers.

At our online event in October 2020, we discussed common data trends and patterns from CLWRota and Medirota across the past 12 months, looking closely at the impact of COVID-19 on departmental activity, leave and cancellations.

Support for CLWRota and Medirota users facing COVID-19

Our third All Doctor Rostering event will be held on 6 December 2019 at the citizenM hotel in Tower Hill. We'll be discussing implementation stories, our plans for new feature developments and our response to NHS' s latest E-Rostering proposals.

Our Autumn 2019 event was held in London at Farmers and Fletchers, on Friday 04 October. The day featured talks from the Rotamap team as well as guest speaker Patrick Addison, Consultant Plastic Surgeon and Rota Master from NHS Lothian.

The October 2019 benchmarks were sent out in advance of our Autumn 2019 event at Farmers and Fletchers in London. The benchmarking packs are compiled according to the report settings configuration in CLWRota and Medirota. In November 2018 NHS Improvement announced plans to develop required standards for NHS workforce deployment systems focusing on the requirements for electronic rostering, job planning, junior doctor and staff agency services. This document summarises the current status of NHSi's plans and Rotamap's views, as a specialist provider of electronic rostering services for doctors.

Our spring 2019 event was held at the Royal Society of Arts in London on the 22 March 2019. The event featured talks from three guest speakers including Jos de Blok, CEO and founder of Buurtzorg, as we focused on the subject of balancing organisational structure with departmental flexibility.

Our Winter 2018 ADR event provided a forum for implementation co- ordinators at Trusts rolling out All Doctor Rostering (ADR) projects and other interested parties to share ideas about effective rollout strategies and to provide feedback on our proposed system developments.

At our our Autumn 2018 event at the Stanley Building by King's Cross in Central London, Jacob Kirk presented an analysis based on Rotamap's system Service Reports. The talk focused on how heatmaps, p-charts and other visualisations of department data can help provide insights for improving department performance through reducing variation.

Our September 2018 event was a training day held on Friday 28 September 2018 at the Stanley Building in Central London. The theme of the event was "operational effectiveness" with three guest and seven Rotamap presentations.

At our our Spring event at the RSA in central London, Jacob Kirk and Tom Kelly presented our latest benchmarking data packs. Cross departmental analysis, surgical theatre and clinic usage and anaesthetic trainee activity were among some of the topics discussed.

The March 2018 Rotamap event was held on 23 March 2018 at the RSA in central London. The theme of the event was improving information flow.

Our autumn event was held on 5 October at The Library of Birmingham and had the theme of "situational awareness".

At our Autumn event at Birmingham new Medirota benchmarks were presented and discussed. These new benchmarks looked at the differences between theatre and clinic delivery across surgical specialties.

Anonymous data from CLWRota has been used to analyse over 618,000 trainee sessions in the article "An analysis of the delivery of anaesthetic training sessions in the United Kingdom" in Volume 72, Issue 11 of Anaesthesia.

The focus of this article is the benefits a collaborative approach can bring both to individual professionals but also the clients they work for and the institutions in which they work. It is instructive first to consider the problems that arise in attempts to adopt systems such as the central line checklist or the WHO theatre protocol.

This article explores the many challenges facing the introduction of a systematic, collaborative approach. Our argument is that how professionals work together is as important as the expertise that they bring, and that individual performance is inextricably linked with that of each member of the whole team involved in a procedure.

This is the first of three articles discussing aspects of team collaboration, particularly in a clinical setting. Each discusses important aspects of how the horizontal approach, as distinct from a highly individualised and professionalised vertical paradigm, can provide benefits to professional teams. This approach can also yield surprising insights that can hold value for the managers of the unit in question.

The Carter Report, published in February, highlighted high levels of variation across the NHS and set out 15 recommendations on action to be taken. We discuss what this means at a departmental level.

As part of our Rotamap event in March 2015 we put forward a checklist to outline some of the valuable measures a department could use to gauge its efficiency by taking closer look at five departments who have improved their service using different approaches and what they were doing differently to make their service more efficient.

The 2014 Forum was held on Friday 19 September at King's Place in central London. The event included presentations on making the best use of data to help the department improve and use of flexible sessions as well as the latest cross-departmental benchmarking data.

The latest set of benchmarks were presented at the 2014 Training & Management Day event in the Battlebridge Room at King's Place, Central London on 20 March 2014. Along with some new analysis of solo activity split between junior and senior trainee grades, two year benchmark data for departments with the requisite historical information were also shown.

The 2014 Training & Management Day took place on 20th March 2014 at Kings' Place in Central London, and was attended by over 100 existing and prospective clients comprising of consultant anaesthetists, managers and administrators. The day was split into two parts: a training session in the morning and an afternoon session devoted largely to management-related issues.

The latest set of benchmarks were presented at the 2013 Annual Forum event in the Battlebridge Room at King's Place, Central London on 19 September 2013. Among the new developments in how department data can be analysed were a series of graphs comparing expected numbers of departmental sessions with the number of sessions delivered.

The 2013 Forum was held on 19 September 2013 in the Battlebridge Room at King's Place, close to the King's Cross and St. Pancras stations in central London. The event included presentations from several external speakers, talks from the Rotamap team and the presentation of the latest benchmark reports.

The 2013 March Management & Training Day took place on 21st of March 2013at the canal-side Battlebridge Room at King's Place, close to King's Cross station. The event was attended by close to 90 managers, clinical office holders and senior administrators who wished to learn more about CLWRota and the team's plans for improving both its operational and management functions.

The March 2013 benchmarks were presented at the March 2013 Training & Management Day, held at the Battlebridge Room at King's Place. Apart from presenting the expanded set of measures first released at the September 2012 forum, we introduced a new standard deviation curve of individual productivity rates for discussion.

The September 2012 benchmarks were presented at the September 2012 Forum held at the Wellcome Collection in central London. We took data from the newly released Rota Management Console (RotaMC) and introduced some new statistical measures including the use of P-charts and funnel plots.

The 2012 Forum was held on 13 September 2012 in the main auditorium at the Wellcome Collection in central London. Two external speakers, Dr Will Wight from the RVI in Newcastle and Stewart Nisbet from Lewisham, spoke about different aspects of using CLWRota and how they managed department performance.

At the 2012 March Management & Training Day the CLWRota team presented several graphs showing both individual department and cross- departmental activity. The main focus of analysis data was cross- departmental benchmarks which incorporated data from 26 departments which have used the CLWRota anaesthetics rota management system for at least 12 months.

The March 2012 benchmarks were presented at the 2012 Training & Management day, held at the Wellcome Collection in Central London.

The second presentation of benchmarks was made at the September 2011 Forum, following an initial introductory discussion of some initial benchmarks at the inaugural 2011 Training & Management event. Sixteen departments were included in the analysis.

The 2011 Forum was held in London on the 14th of September at the Wellcome Trust. The focus of this year's event was department productivity and reports.

The 2010 Forum was held at the Wellcome Trust in Central London, with around 55 attendees from 30 departments. The event brought together existing and potential future users of CLWRota to discuss anaesthetics rotas in general and the CLWRota system in particular.

Around 45 attendees attended the 2009 forum on the 17th of September 2009 at the Design Centre in Central London. Speakers at the forum focussed on the effectiveness of the system and gave insights about training aspects of the system. The genesis of the system was also discussed, and we also had a theoretical discussion on how services organisations can improve their operations.
